Contract Vault collects the contracts that have cleared approval in one place and tracks them through to their expiry date. The number of contracts, how many are expiring soon, and how many have already lapsed are summarized as figures at the top. Anything drafted in Documents & Approvals under the contract type lands in this list automatically.

What this app does

  • Draft date, title, contract value, author, expiry date, and approval status are laid out on a single row.
  • Contracts falling due within thirty days and contracts already past their date are told apart by a marker beside the title.
  • Expiry dates are entered and corrected directly in the list. There is no need to reopen the contract itself.
  • If even one contract is close to expiring, the summary in the header takes on color and becomes hard to walk past.
  • How far a contract has moved through approval shows as a status, so approved contracts don't get read alongside ones still in flight.
  • A contract with no expiry date yet leaves the field blank and visible. What still needs filling in is apparent from the list itself.

Approved contracts arrive by themselves

A document raised in Documents & Approvals under the contract type follows the approval flow and appears in the vault as it is. Approved contracts are never moved across or registered a second time.

The expiry date is the one field this app owns

The document body stays in the shared document store; the vault manages the expiry date. It adds what contract management needs without touching the original.

Who may change an expiry date is fixed

Only the author and administrators can edit it. The value sits directly against the contract terms, so the server checks the permission rather than trusting the screen.

When to use it

  • Open the vault at the start of a quarter, pull the contracts expiring within it, and begin renewal talks.
  • Fill in the expiry date once a contract clears approval so the next person doesn't miss the deadline.
  • During audit preparation, read contract value, author, and approval status from one screen while assembling the file.

Do I draft contracts in this app?

Contracts aren't drafted here. Draft in Documents & Approvals under the contract type and the document collects in this vault, which then manages it by expiry date.

How do I find contracts coming up for renewal?

The header shows a separate count of contracts nearing expiry, and any contract inside thirty days carries the days remaining beside its title in the list.

Who is allowed to change the expiry date?

The author and administrators. Without that permission the change isn't saved and a message explains why.

Do quotations and statements of account collect here too?

They don't. Those documents are handled separately in Quotes & Statements. The vault holds the contract type only.
