Decide when to add resources using real booking data

Resource Utilization turns actual room and equipment use into numbers and distribution. Utilization per resource is ranked as bars, and below it a day-by-hour matrix darkens wherever the crowding sits. It reads the bookings collected on the Reservation Board as they stand, so there is no tallying to do.

What this app does

  • Each resource gets one row: a utilization bar, the percentage, the booking count, and total hours. Rows sort by utilization, so bottlenecks rise to the top.
  • In the matrix that crosses day of week with time of day, cells holding more bookings take a deeper shade, and the single busiest cell is called out.
  • Choose a window of the last 7, 30, or 90 days to separate the recent picture from the quarterly one.
  • Pick a single resource and the day-and-hour distribution recalculates for that resource, so you can see when one particular room fills up.
  • Sorting switches between percentage, booking count, and hours, letting you change the yardstick as you read.
  • Utilization is calculated against weekday working hours. Evening and weekend bookings don't dilute the figure and make a resource look quieter than it is.

How it connects in the all-in-one

The same bookings from a different angle

The screen you book on and the screen you analyze on share a single booking record. Building a separate tally sheet, or transcribing figures at month end, disappears.

Evidence you can put behind a purchase decision

When a room saturates, and how badly, is recorded as a number — so a debate about adding resources or rewriting the booking rules starts from the record instead of a hunch.

When to use it

  • Someone asks for more meeting rooms: check whether the shortage is real using utilization and the time-of-day spread.
  • If bookings all crowd into one part of the day, ask teams to stagger their meetings.
  • Pull a 90-day utilization figure to put resource usage into the quarterly report.

Frequently asked questions

Do I have to enter anything to get these numbers?

No entry is needed. Bookings made on the Reservation Board are aggregated exactly as they stand, and utilization updates as bookings accumulate.

What hours does the distribution cover?

The hour axis runs from 8am to 7pm and is crossed with the day of the week — a range chosen to find the crowded stretches inside working hours.

How far back can I look?

The last 7, 30, or 90 days. The short window shows recent shifts; the long one shows the patterns that repeat.

Can I look at just one room?

Selecting a resource re-cuts the day-and-hour distribution for that resource. The utilization list above stays on all resources so you can keep comparing them.
